What the AI Sees
Transparency matters when PHI is involved. Here is a clear breakdown of what the AI receives when you use SOAP Note Buddy to generate notes, and what it never sees.
What the AI Receives
- Field labels — “Progress Notes,” “Status,” “Patient Goals”
- Field structure — element IDs, input types, section headers
- Empty or filled status — the AI knows whether a field has content, but not what that content is
- Dropdown options — clinical options like “Improving,” “Maintained,” “Declined”
- Your daily summary — the clinical observations you type before generating notes
- Your eval summary — the patient background information you entered when setting up the patient
- Custom instructions — any preferences you have set for note style or content
What the AI Does NOT Receive
- Patient names
- Patient ages
- Contact information (phone, email)
- Social Security numbers
- Medical record numbers or patient IDs
- Addresses
- Dates of birth or visit dates
- Actual values currently in form fields
About Your Daily and Eval Summaries
Your daily summary and eval summary are sent to the AI because they contain the clinical information needed to generate accurate notes. These summaries are written by you, and you control exactly what goes into them.
Best practice: write your summaries using clinical observations rather than identifying information. For example, write “patient demonstrated improved gait tolerance” rather than including the patient’s name or date of birth in the summary text.
After Processing
Once the AI generates a response, the data is not retained. There is no training on your data, no storage of your requests, and no history kept in the AI system. Each request is processed independently and discarded.
