Questions
When do I actually get paid?
Each commission stays in "pending" for 30 days (to cover refunds), then moves to "cleared." On the 1st of each month, we batch all your cleared commissions and transfer them to your Stripe account. From there Stripe pays out to your linked bank account on whatever schedule you've set (typically 2 business days). Minimum payout is $50 — below that, your balance rolls over to next month.
What if my referral cancels their subscription?
You earned commission on every month they paid. When they cancel, future commissions stop, but you keep what's already been paid out. If they cancel mid-month and get a refund within 30 days, that specific commission gets clawed back (it was still in the pending window). After 30 days it's yours.
Can I promote with paid ads?
Yes — just don't bid on our trademarks (no "soap note buddy" or "soapnotebuddy" Google Ads keywords) since that competes with our own paid search. Content-based ads (LinkedIn, Facebook, newsletter sponsorships) are fully fair game.
What about tax forms?
Stripe handles all of it. They collect your W-9 during onboarding (US affiliates) and generate a 1099-NEC at year-end if you earn $600+. Non-US affiliates get the international equivalent (W-8BEN, etc.).
Can I refer myself or my own clinic?
No. Self-referrals are blocked automatically — if you sign up for SOAP Note Buddy using your own affiliate link, no commission is recorded. That said, if a colleague at your clinic signs up using your link, that's a legitimate referral.
Do you give me marketing assets?
We provide suggested copy snippets in your affiliate dashboard. We don't currently have a banner library — in our experience, clinician audiences convert better on authentic personal recommendations than on display ads anyway. If there's specific copy or imagery you need, just ask.
How long does the cookie last?
90 days. We chose this longer-than-typical window because healthcare buyers research more carefully — a clinician might watch your video, mull it over for a month, talk to colleagues, then sign up. 90 days covers that realistic decision cycle.
What if two affiliates' links touch the same customer?
Last-touch attribution: whoever the customer clicked through most recently within the 90-day window gets the commission. Industry standard.
