Why No Volume Discounts?
We charge the same fair per-clinician price whether you have 2 seats or 200. We know this is unusual — most software offers steeper discounts the bigger you get. Here's why we don't.
SOAP Note Buddy is usage-based. Every clinician using the product consumes real AI capacity. Discounting volume would mean charging less per clinician while spending the same per clinician to serve them — eventually that breaks our ability to keep delivering the same quality.
The Agency Plan's value isn't a price break, it's the management features. The admin time you save, the BAA you only sign once, the seats you can add and remove without juggling 20 separate accounts — that's where the value lives. We'd rather price honestly than play discount games.
Annual billing saves 17% across the board, same as our individual plan. That's the only built-in savings, and it's available to you whether you have 2 seats or 200.
Agency Plan FAQ
Do you offer volume discounts for larger agencies?
No. We charge the same fair per-clinician price whether you have 2 seats or 200. The full reasoning is in the section above — in short: SOAP Note Buddy is usage-based, and the Agency Plan's value lives in the management features, not a price break.
What's the minimum number of seats?
Two seats. Below that, individual signup at our regular pricing is the better path.
Is there a maximum?
No maximum. The same flat per-seat pricing applies whether you have 2 or 500. Build your plan above and email support to get started — no matter the size.
Can I add or remove seats at any time?
Yes. Add seats anytime from the admin dashboard — you'll be billed prorated for the remainder of the cycle. Remove seats anytime; the change takes effect at the next billing date.
Can I mix Base seats and Voice seats?
Yes. Most agencies do. For example, an agency might give Voice seats to therapists who dictate notes and Base seats to assistants who don't. Each clinician is assigned to a specific seat type by the admin, and seat types can be reassigned anytime.
How does the BAA work for an agency?
One Business Associate Agreement is signed by your agency admin via a secure signature flow (real signature, not click-to-accept). It covers every clinician on the plan. The signed PDF is downloadable anytime from the admin dashboard, and your clinicians can view it from their own accounts as proof of coverage.
What happens if a clinician leaves the agency?
The admin removes them from the dashboard, freeing the seat for someone else. Their patient data lives on their own device, matching our standard privacy model — nothing is centrally stored that needs migration.
Do clinicians on the agency plan get a free trial?
The agency itself doesn't have a trial — you're committing to the seat count you buy. But individual clinicians can always try the product first via our 7-day individual trial before you set up the agency plan.
How does domain auto-join work?
The admin enables it for your work domain (e.g., @yourpractice.com). Any new signup using that email domain is automatically added to the agency at a default seat type the admin chooses. Saves you from sending invites one by one. Common consumer domains like gmail.com cannot be set as auto-join domains.
Can I switch between monthly and annual?
Yes, anytime from your billing settings. Annual saves 17% across all seats.
What EHRs and disciplines do you support?
SOAP Note Buddy works with any web-based EHR — we use AI-driven field detection rather than EHR-specific integrations, so it adapts to whatever EHR your team uses (Kinnser, Devero, Tebra, PointClickCare, Epic, Cerner, and many more). All clinical disciplines are supported: PT, OT, SLP, nursing, mental health, physicians, social work, and more.
